All,
I'd like to pass on some tips and details I have learned about the
calendar migration this weekend. This information is ONLY useful for
people who:
1. Use Corporate Time / Oracle Calendar
2. Access Corporate Time / Oracle Calendar from a smart phone
3. Don't use Corporate Time / Oracle Calendar but engage regularly in
meetings with others on campus
Each of these groups is addressed separately below.
1. People who use Corporate Time / Oracle Calendar:
a. ITU recommends that you print out next week's calendar now in case
the migration is not completed by Monday
b. The new system is part of the email system and your calendar will be
visible through the web email application and Outlook.
c. The default settings allow others to see your "busy" times but not
what you are doing. If you allow others to book your time, you should
give them those rights.
d. Events that are moved from the old system to the new one will have
the code [CT] as part of the event. I was part of a testing group and
all events were successfully migrated, going as far back as the 1990's.
2. People who access their calendar through a smart phone:
a. Be sure to turn on calendar access for your email account.
b. Disable or, better yet, delete the Exchange account that was used for
your calendar. BE SURE YOU DELETE THE RIGHT ACCOUNT! The old calendar
account points to kratos.mesa.gmu.edu and that is the one to be deleted.
If you are unsure, disable it first and check that everything is working
properly on Monday morning.
3. People who do not now use Corporate Time / Oracle Calendar and who
engage in meetings with others on campus:
Many people on campus have been using Oracle Calendar for years to set
up meetings - and using email or phone calls to set up meetings with
people without accounts. Everyone has an account on the new system so
you may suddenly find yourself scheduled for a meeting when you have
something else planned. If you do meet regularly with others at Mason, I
strongly suggest using the new calendar system as it simplifies setting
up meetings.
